Introduction

This Privacy Policy describes how Prism K12 ("we", "our", or "us") collects, uses, and protects your personal information when you use our platform.

Information We Collect

We collect information that you provide directly to us, including:

  • Account information (name, email address, password)
  • Organization and user profile information
  • Student information and educational records
  • Session documentation and notes
  • Billing and payment information

Payment and refund requests are handled in line with our Refund Policy.

How We Use Your Information

We use the information we collect to:

  • Provide and maintain our services
  • Process transactions and manage billing
  • Send you service-related communications
  • Comply with legal obligations

Student information and educational records are used for one purpose only: operating the platform so your school or organization can deliver and document the services it is contracted to provide — storing, displaying, scheduling, exporting and backing up those records at the direction of your organization's authorized users. We do not use student information or educational records to improve our platform, develop new features, build profiles, train machine learning models, or for marketing of any kind.

Separately, we do use limited staff usage telemetry — which screens a staff account visits, which actions it takes, and what errors occur — to improve our platform and develop new features. We configure that telemetry not to collect student names, educational records or clinical documentation, and page addresses are stripped of student and organization identifiers before they leave the browser. Those controls took effect on 26 August 2026; analytics data collected before that date was not subject to all of them, and remains held by our analytics provider until its retention period expires.

Data Security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. This includes encryption, secure data storage, and access controls.

Your Rights

Student education records. Prism K12 is provided to schools and school districts, which are the legal custodians of student education records under the Family Educational Rights and Privacy Act (FERPA). Under FERPA, a parent or guardian (or an eligible student) has the right to inspect and review their child's education record and to seek amendment of information believed to be inaccurate or misleading. Those rights are exercised with your school district, not with us — the district controls the record and directs how we may act on it. If a parent or guardian contacts us directly about a student record, we will not disclose or alter anything; we will route the request to the district through your organization and let the requester know we have done so.

Staff accounts. If you are a staff user of Prism K12, you may access and correct your own account information within the platform at any time, or by contacting us through our contact page.
